Title : Executive Summarization and Transcription Services

Description : We are Canada based looking to outsource our requirement of Transcription Service. We are looking for all of the following: (a) Executive Summarization Services; (b) Verbatim Transcription Services; (c) Dicta/Tape Transcription Services on an “as needed and ad hoc basis” over a two (2) year period.
Scope :
1) Executive Summarization Services: Service Provider should be able to provide one or more qualified writers to attend our stakeholder engagement session. This number will depend on the project assigned. The main tasks to perform for the provision of Executive Summarization Services are as follows but not limited to: Producing accurate summaries of live stakeholder engagement sessions, conferences, workshops, symposia, or other types of meetings such as but not limited to conference calls, webinars, or other forms of virtual meetings.
2) Verbatim Transcription Services: The main tasks to perform for the provision of Verbatim Transcription Services include but are not limited to: Producing accurate verbatim transcription services, as directed, for stakeholder engagement sessions. These sessions include but are not limited to public information meetings, “town halls”, live conferences, workshops, or symposia.
3) Service Provider(s) must have the capability to assign and field personnel on minimum 72 hours notice.
4) Service Provider(s) must be capable enough to provide all the above services in any community in Ontario in order to reduce or eliminate the need for travel costs. For example, we have held stakeholder engagement sessions and technical workshops in communities such as Toronto and Greater Toronto Area (Markham, Barrie, and Niagara Falls), London, Kitchener-Waterloo, Windsor, Ottawa, Kingston, Sudbury, Thunder Bay, North Bay, Timmins, Sault Ste. Marie, Fort Frances, and Kenora.
5) Service Provider(s) must have the capability to produce written transcription overnight if required with text delivered no earlier than 8 AM (local time) the following morning).
6) Dicta/Tape Transcription Services: The main tasks to perform for the provision of Dicta/Tape Transcription Services include but are not limited to: Producing accurate verbatim transcription from dicta, tape or other audio recordings.
7) Deadlines for Dicta/Tape Transcription Services would be determined between our Project Manager and the Service Provider on an individual project basis. Proponents may provide quotes on a per-page, or number of words, or length of recorded material basis. Should a Proponent bill on a different basis.
We are looking for Best Proposals. Interested Service Provider can send their responses to this tender on or before November 23, 2009 by 16:00 Hrs (local time) on given address.
